Tax Department Administrative Assistant - 1300853
This position is responsible for secretarial duties and administrative functions of the Tax Department. If applicable or appropriate, assists in business unit’s compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to those related to Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act. In addition, this position is responsible for demonstrating the Excellence in Sales/Service (ESS) philosophy by participating in and practicing ESS disciplines and behaviors.
Tax Department:
- Controls tax return tracking, assembly, signing and filing of income tax returns and estimated income tax payments.
- Updates and maintains the tax department databases
- Supports tax department staff with general duties including, but not limited to, preparation of correspondence, mail pickup and delivery, maintain work logs and process various reports
Accounts Receivable:
- Processes and collects all billings for tax services.
- Reconciles the accounts and prepares the A/R report.
Accounts Payable:
- Prepares and maintains purchase order requests and submits invoices for payment.
- Manages vendor contract statuses
Administrative duties for Income Tax Manager:
- Including, but not limited to, preparation of correspondence, managing appointments, set up and management of meetings and managing telephones, responses and messages
- Control and maintenance of Tax Department client files as well as administrative files
- Manages the tax payment process including requesting checks and communicating amounts due to the account officer
- Answer inquiries from other departments and ensures appropriate follow thru and resolution

Technical skills:
Ability to use a personal computer and is proficient on Microsoft Office software, including Outlook, Internet Explorer, Word ,Excel, and Access or similar database product.
Database knowledge and management, spreadsheet proficiency and and work processing
