Job Description:
SUMMARY:
The Order Processing Coordinator is responsible for the timely acknowledgement of both customer and Refinery Systems Service Sales Technicians order requests. This role is also responsible for ensuring all orders are fulfilled and shipped correctly to their destination and finally, responsible for ensuring all payments are both made and received in the course of fulfilling orders.
DUTIES AND RESPONSIBILITIES:
Order Processing:
Respond to all customer inquiries, provide order information, update & follow up on open issues
Set up payments (proforma’s l/c review , l/c & CAD documents), follow up payments, banking
inhouse rep’s territory & sale’s reps support
Coordinate shipping w/forwarder’s, process thru UPS, FED EX & freight carriers
HAZ MAT Certified for fuels, reagent shipments
Maintain & update monthly shipping schedule indicating any specific/special requirement ie;
payment terms, ship no later than, back order, partial shipment allowed etc.
Maintain, update & purge Sales Order filing
Pull, copy & submit support documents for SOX Audit on Sales Orders
EDUCATION and EXPERIENCE:
High school diploma or general education degree (GED) or equivalent required; Associate’s degree preferred.
One or more years related experience and/or training; or equivalent combination of education and experience.
KNOWLEDGE, SKILLS & ABILITIES:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Ability to write routine reports and correspondence.
Ability to speak effectively before groups of customers or employees of organization.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
